WelcomeTokyo is looking for on-site operations staff for our English conversation and language exchange events. We connect international and Japanese participants in a vibrant international exchange community event! Want to use your English and get a "mini study abroad" experience without leaving Japan? This is it! It's a fantastic environment for English learners and anyone looking to sharpen their management skills.
Your Role: English Conversation Language Exchange Staff
💼 What you'll be doing:
Simple venue setup
Welcoming guests and handling registration in English and Japanese
Facilitating connections and supporting conversations between participants
Assisting with photos/videos for social media
Creating and submitting event reports
Online tasks (30-60 minutes, compensated separately)
🗓️ Fixed Schedule (2+ days a week):
Mondays & Thursdays: 7:00 PM - 9:30 PM (on-site) + 30-60 minutes of online work.
For other days, please check our separate job postings (these are usually in Namba or Shinsaibashi).
Tuesday shifts will also be available soon!
📌 Your work days will be fixed, with a minimum of two shifts per week. 🔁 Need time off? You can swap shifts with other staff. We're flexible with long vacations if arranged in advance.
📍 Location:
Around Umeda Station, Osaka (within walking distance).
💰 Pay & Perks:
Hourly Wage: ¥1,400 - ¥2,000 (performance reviews and raises 3 times/year)
Incentives
Commute Allowance: ¥500/day

Requirements & Preferred Skills
🧑💼 Who we're looking for:
✅ Must be able to work for a minimum of 1 year (please state your end date in dd/mm/yyyy format). ✅ If you're on a Working Holiday Visa, you must have at least 10 months remaining on your visa. ✅ Available for fixed shifts 2+ days a week, year-round. ✅ High school students, side hustlers, and beginners are welcome! ✅ JLPT: N4 level or higher (test result required). ✅ Study abroad experience / Currently learning English / TOEIC around 700 points are a plus (but not required).

~A Glimpse into Your Day: Your Job Flow~
💼 Your typical day as an event staff member:
WelcomeTokyo events always draw a crowd of international and Japanese participants. Your smile and attention to detail will make a huge difference! 🌏✨
🏠 ① Venue Setup: Before the event starts, you'll set up tables, chairs, name tags, and more. Don't worry, there's a clear process to follow. You'll put on some music and adjust the lighting to create a fun and inviting atmosphere.

🙋♀️ ② Welcoming Guests & Registration: Greet participants with a smile, check their names against the WelcomeJapan app reservation list, and guide them. If someone seems a bit nervous, offer a friendly word to help them relax! ✨

🎤 ③ Hosting & Event Flow: You'll explain the event flow, announce pair changes, or introduce conversation themes when it's time. Your announcements will help participants start talking naturally!

👥 ④ Engaging with Guests & Support: Since many participants are meeting for the first time, a little icebreaker or an energy boost from you is key. Sometimes you'll step in to translate or help someone who's shy join the conversation.

📸 ⑤ Photography (for social media) + Interacting with Guests: Capture event moments with your phone! 📷 While taking photos, it's important to naturally chat with guests and build rapport. You'll take photos and videos for social media and send them to HQ. You'll get better at photography too!

📝 ⑥ Closing: After the event, you'll say "Thank you!" as participants leave. You'll also check for forgotten items and ensure everyone has a pleasant departure.

🧼 ⑦ Cleanup & Venue Reset: This involves simple tasks like putting tables back in place and gathering trash. It's the moment you get to feel the satisfaction of a successful event!

🏠 ⑧ Head Home! + Online Reporting (compensated): After returning home, there's a short online task (30-60 minutes). Event reports, photo submissions, and communication with HQ are all done through our in-house communication app. All can be done on your smartphone!

📲 All work communication happens through our custom communication app!
Customer inquiries are usually received via the WelcomeJapan app. You'll use templates to reply or escalate to HQ when needed. 💡 No phone calls with customers! You can handle everything on your smartphone during your free time, making it easy to start even if you're new to this kind of work!
